NUCATS is proud to partner with Acutrans. Acutrans provides interpretation, translation, audio transcription, and multimedia localization services tailored for healthcare and research settings. This collaboration seeks to support our clinical research teams in effectively communicating with diverse populations, ensuring inclusivity, and maintaining compliance with regulatory requirements.

By providing high-quality translation and interpretation services, this collaboration enhances the accuracy and clarity of study-related communication, fostering trust and understanding.

Please note that all costs of interpretation and translation fall to the responsibility of the investigator. Investigators should ensure adequate funding prior to signing an SOW and incurring invoices.

Process Overview

 Steps to Take

  1. Study Team completes the Acutrans Service Request Form
  2. Acutrans provides prospective SOW to the Study Team.
  3. Study Team reviews SOW and pricing from Acutrans, ensuring sufficient funding is available to support the proposed work.
  4. NUCATS CCR emails a copy of the current, executed Master Agreement upon email request: CCR@northwestern.edu   
  5. Study Team uploads the SOW from Acutrans, along with a copy of the executed Master Agreement, to the FSM Contract Request Form
  6. Study Team receives back the signed SOW from FSM Contracts and then emails signed version to Acutrans at navierb@acutrans.com.
  7. Study services begin.
  8. Study team directly pays Acutrans all applicable invoices as outlined in their study's SOW.

Frequently Asked Questions

 Are the interpreters certified?

Yes, Acutrans’ interpreters are professionally certified and trained in clinical terminology. A certificate of translation is provided for all study-related documents necessitating IRB approval.

 What types of interpretation services are available?

Scheduled Services: On-site interpretation and video conference interpretation.

On-Demand Services: Video Remote Interpreting (VRI) and Over-the-Phone Interpreting (OPI).

 How can I request services through Acutrans?

Complete our service request form to begin the Statement of Work (SOW) process.

 How will I know how to request the service?

Once your team has the SOW in place, Acutrans will provide all necessary training and step-by step instructions, and you will have a dedicated point of contacts for the language services you will be using.

 What is the average response time for on-demand interpretation services?

Our Over-the-Phone Interpreting service has an average response time of under 25 seconds.

 How long does it take to translate a document?

Turnaround time varies depending on the length and complexity of the document but typically ranges from 3-5 business days for documents up to 10k words with simple DTP.

 What types of content can Acutrans translate?

Acutrans facilitates over seventy-nine languages and supports file types like medical documents, software, website content, and multimedia content.

 What is multimedia localization?

Multimedia localization includes services like transcription, subtitling, voiceovers, and adapting audio and video content for diverse audiences.

 What happens once I submit a service request form?

Once your form is received, Acutrans team will contact you to finalize the details and set up the project.

 How is PII and PHI managed by Acutrans to ensure compliance?

Documents and audios containing PHI/PII are processed onshore, PHI/PII data is removed from the documents prior to translation/transcription and reinserted before the delivery to the client. PHI/PII data is destroyed upon the client's acceptance of the translation. Our systems are HIPAA compliant, and all data processed by Acutrans is encrypted according to our Cryptography policy - both in transit and at rest.

 Is Acutrans HIPAA Compliant?

Acutrans is one of the few language service providers with HIPAA and CMS compliance in the U.S. With secure server facilities and facilities with access controls, we meet the strictest compliance requirements. FIPS-140 validated encryption methods are used for data transfer, while computer systems are protected with firewalls with strict access controls. All portable devices must be Acutrans-sanctioned equipment with proper antivirus and firewalled protections.

 Is Acutrans insured for Data Breach?

Acutrans also maintains a Network Security and Privacy Liability Insurance plan in the unlikely event of a data breach, as well as other normal corporate liability policies. Acutrans protects its data with industry standard AES encryption and firewalls with strict access controls to aid in the prevention of data breaches.
